Booking and cancellation

For workplace, group and organisation bookings.

Quotes and confirmation

We provide a written quote for each session or programme. Quotes are valid for 30 days. A booking is confirmed when you accept the quote in writing and we receive the deposit. If travel or venue costs are applicable they will be quoted on the invoice.

Fees and payment

A deposit of 25% of the total fee is payable on confirmation.

Balance is payable within 7 days of the event.

What we provide and what we ask of you

We provide the facilitation and all art materials.

You provide a suitable room, with access for us to set up before the start.

Please confirm final numbers at least 7 days before the session.

Participants must be aged 18 or over and take part voluntarily.

Rescheduling and cancellation by you

Rescheduling: free of charge with at least 4 weeks notice, subject to our availability.

Cancellation with more than 4 weeks' notice: the deposit is retained and no further fee is due.

Cancellation with 2 to 4 weeks' notice: 50% of the total fee is payable.

Cancellation with less than 2 weeks' notice: 100% of the total fee is payable.

If we cancel or reschedule

If we have to cancel (for example through illness), we will offer you an alternative date. If none suits, we will refund everything you have paid.

Nature of the sessions

Our sessions are creative wellbeing activities. They are not therapy, counselling or medical treatment, and they do not replace your organisation's own duty of care, occupational health or clinical support services.

Photos and confidentiality

We will not photograph, film or share images from a session without permission from your organisation and the participants. We treat information about your organisation as confidential.

Insurance

Mind Unwind holds public liability insurance. A certificate is available on request.

Data protection

We use your organisation's contact details to arrange and deliver sessions, as described in our Privacy Policy.

About our workshops

Mind Unwind workshops are creative wellbeing sessions using mindful art. They are not therapy, counselling or medical treatment, and they are not a substitute for professional medical or mental health support. You take part voluntarily and at your own pace.

Workshops are for adults aged 18 and over. All materials are included, and you keep the artwork you create. Venue and accessibility information is given in each workshop's course outline. If you have any questions about access, please contact us before you book.

Booking and payment

Book your place through our website. Your place is confirmed once your payment is received.

Card payments are processed securely through Wix.

If we cancel or change a workshop

Each workshop needs a minimum of 6 participants to run. If fewer than 6 people have booked, or we have to cancel for any other reason (for example illness or the venue becoming unavailable), we will contact you as soon as possible.

You can then choose either:

a full refund of everything you have paid; or
a transfer to another workshop of your choice.

Refunds are made to the original payment method. Wix can take up to 10 days to send the money to your account.

If you need to cancel

We know plans change and we are happy to be flexible. Please tell us as early as you can, and at least 4 weeks before the workshop, by emailing emma@mindunwind.co.uk

If you cancel at least 2 weeks before the workshop, you can choose one of the following:

Exchange for another workshop. Your payment carries across to the new workshop. Your exchange credit is valid for 12 months from the date you cancel. If the new workshop costs more or less, we will adjust the balance accordingly.

Transfer your place to a friend. Please send us their name and email address before the workshop. They must be aged 18 or over.

Refund, if we can fill your place. If we are able to re-sell your place, we will refund your deposit less a £5 admin charge. We cannot guarantee that we will fill it. If we are unable to, you are still welcome to exchange as above. Refunds go to the original payment method, and can take up to 10 days to send the money to your account.

Late arrival and no-shows

If you do not attend and have not told us in advance, your place is forfeited and your payment is non-refundable.

Photos

We will only photograph or film you or your artwork with your permission, which we ask for on the day. You can change your mind at any time by asking us to remove an image. See our Privacy Policy for more.

Your statutory rights

Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, the usual 14 day cancellation period does not apply to leisure activities booked for a specific date. This policy sets out the cancellation options we offer instead. It does not affect your other legal rights.
